Booking Centre gives your authorised team members one place to schedule, reschedule and cancel customer appointments across the locations connected to your Branch Manager account.

It is designed for internal booking teams, call-centre agents and regional coordinators who make bookings on behalf of customers. Each user follows a guided booking process that applies the services, availability and resources of the selected location.

Who Booking Centre Is Useful For

Booking Centre is suitable for businesses that manage appointments centrally across several locations.

Typical examples include:

  • Call-centre teams booking appointments during customer calls

  • Regional teams coordinating appointments across several branches

  • Customer-service teams managing changes and cancellations

  • Multi-location businesses that need a consistent internal booking process

  • Advisory businesses where customers may request a particular consultant or accept an automatically assigned resource

Here Is What You Need to Know

  • Booking Centre is available with the TIMIFY Enterprise plan and requires a Branch Manager.

  • It is an internal tool for authenticated users. Customers cannot access it themselves.

  • Each user needs the appropriate permission to schedule, reschedule or cancel bookings.

  • Booking Centre can contain up to five booking flows. Each flow appears as a separate tab.

  • Your available steps and options depend on how your Booking Centre flows and settings have been configured.

  • Booking Centre works with Global Customers and Global Shared Customers. Global Shared Customers are recommended, particularly when creating follow-up bookings.

  • Booking Centre is not available in the TIMIFY Mobile App.

  • Online payments and Waiting List registration are not supported.

1. How TIMIFY Booking Centre Works

The Booking Centre is available inside the Branch Manager. It allows you to manage appointments using the services, resources and availability stored in each individual branch.

When you open Booking Centre, you may see several tabs. Each tab represents a different booking flow and can be configured for a particular process, service type or group of locations. These flows are configured by your Account Manager.

For example, one flow could ask you to select a location first, while another could start directly with service selection. The exact steps, therefore, depend on your account configuration.

You can start a booking in three ways:

  • Directly from a tab in Booking Centre

  • From an existing customer in Customers

  • From the successful booking page by starting another booking for the same customer

Rescheduling and cancellation always start from an existing customer’s upcoming bookings in Customers.

ℹ️ The Booking Centre does not store a change until you complete and confirm the process. Leaving a scheduling, rescheduling or cancellation flow before confirmation does not change the booking.


2. How to Give Users Access to Booking Centre

Booking Centre permissions are managed separately for each Branch Manager user or through a Manager Permissions Type.

New users do not receive Booking Centre permissions automatically.

2.1 Add or Edit a Branch Manager User

  1. Open the Managers module in Branch Manager.

  2. Add a new manager or open an existing manager.

  3. Go to the user-permissions section.

  4. Open the Booking Centre permission group.

You can also configure these permissions through a Manager Permissions Type when several users need the same access.

2.2 Assign Booking Centre Permissions

The following permissions are available:

  • SCHEDULE allows the user to open Booking Centre and create bookings.

  • RESCHEDULE allows the user to change upcoming bookings.

  • CANCEL allows the user to cancel upcoming bookings.

Enable SCHEDULE first. Once it is enabled, RESCHEDULE and CANCEL become available.

If SCHEDULE is disabled:

  • Booking Centre does not appear in the user’s navigation.

  • The user cannot schedule bookings from Customers.

  • The user cannot receive RESCHEDULE or CANCEL access.

After selecting the required permissions, save your changes.

ℹ️ Give users only the permissions they need. For example, an agent may need to schedule appointments but not cancel them.


3. How to Configure Booking Centre

In Branch Manager, go to Settings > Booking Centre. The settings are organised into three tabs:

  • Display

  • Availability

  • Advanced

Select Edit in the relevant tab to make changes.

ℹ️ These settings apply only to Booking Centre in Branch Manager. They do not change the public Booking Widget.

The settings are divided into three tabs:

3.1 Display Settings

Go to Settings > Booking Centre > Display to control what agents see during the booking process.

Resource Selection

Use Resource Preference Display to decide whether agents can choose a specific resource.

  • When enabled, agents can select a resource.

  • When disabled, resource selection is removed and TIMIFY assigns an available resource automatically.

When resource selection is enabled, use Display No Preference option to decide whether agents can continue without choosing a specific resource.

Use mandatory resource selection when customers commonly request a particular employee. Use automatic assignment when finding the earliest available appointment is more important.

Services and Service Details

Under Service & Group Display, choose which information agents see while selecting and reviewing services:

  • Display service duration shows how long the service lasts.

  • Display service sessions shows the number of sessions included in the service.

  • Display service price shows the service price.

Enable these details when agents need them to explain the booking clearly to customers. Disable information that is not relevant to the booking conversation to keep the flow easier to scan.

Enable Display offline services when agents should also be able to book services that are not available through the public Booking Widget.

This can be useful for:

  • Internal-only appointments

  • Services that require staff approval

  • Services that should only be booked by phone

ℹ️ Display offline services expands the services available in Booking Centre only. It does not make those services available in the public Booking Widget.

Date, Time and Slot Presentation

Use the remaining Display settings to control:

  • The date format

  • The time format

  • The time-slot layout

  • Whether service categories are initially expanded or collapsed

  • Whether the time-zone selector is shown

  • Whether footfall information is available

ℹ️ Enable the footfall selector when agents should consider how busy a location is before offering an appointment time.


3.2 Availability Settings

Go to Settings > Booking Centre > Availability to control which appointment times agents can book.

Booking Lead Times

Use Maximum Lead Time to define how far in advance agents can make a booking.

Use Minimum Lead Time to define how close to the appointment start time a booking can still be made.

For example:

  • A shorter minimum lead time helps agents fill last-minute availability.

  • A longer minimum lead time gives branches more preparation time.

  • A maximum lead time prevents appointments from being booked too far ahead.

Cancellation and Rescheduling Window

Use Branch Manager Online Cancellation and Rescheduling to decide whether agents can change a booking at any time before it starts or only until a defined deadline.

When the permitted period has passed, the booking cannot be cancelled or rescheduled in Booking Centre.

ℹ️ Cancellation and rescheduling eligibility is calculated when a booking is created. Changing this setting may therefore not update the available actions for existing bookings.

Resource Scheduling Rules

Use Booking Centre Resource Scheduling Rule to decide whether resources can be booked:

  • At any time

  • Only within their working and booking times

  • Only within their online booking times

ℹ️ This setting currently overrides the corresponding resource-level setting in individual branches. Consider this before applying one rule across locations with different scheduling requirements.

Appointment Slot Display

Use Slot Frequency Display to control how frequently available times are offered, for example every 15, 30 or 60 minutes.

Use Availability Slot Display to control how many options agents see.

Showing all available slots gives agents more flexibility. Showing only a defined number of early and late slots can make it easier to present a smaller selection to customers during a call.

3.3 Advanced Settings

Go to Settings > Booking Centre > Advanced to configure resource behaviour during rescheduling.

Enable Retain resource preference on reschedule when the customer’s original resource should be preselected, provided that the resource is still available.

When the original resource is unavailable, Booking Centre applies the configured resource-selection rules. Depending on your setup, the agent may need to choose another resource or allow TIMIFY to assign one automatically.


4. How to Schedule a New Booking

Use this process when you are starting without a customer already selected.

  1. Open Booking Centre in Branch Manager.

  2. Select the tab for the required booking flow.

  3. Follow the displayed steps.

  4. Select the location, service, date, time and resource, where applicable.

  5. Enter the booking’s details and the customer’s details.

  6. Review the booking information and confirm the booking.

The exact order of the steps can differ between booking-flow tabs.

For example:

  • A location may already be selected by the flow.

  • Resource selection may be hidden.

  • The system may assign the resource automatically.

  • Offline services may be available to agents.

  • Some flows may include additional booking details.

After confirmation, Booking Centre shows a successful booking page.

From there, you can:

  • Select Start anew to begin a new booking without carrying over the customer.

  • Select Make follow-up booking to start another booking for the same customer.


5. How to Schedule for an Existing Customer

Starting from an existing customer allows Booking Centre to carry the customer’s details into the booking process.

  1. Open Customers in Branch Manager.

  2. Find and open the customer.

  3. Select the scheduling action. (see screenshot below)

  4. Select the required Booking Centre flow, where applicable.

  5. Complete the location, service, availability and resource steps.

  6. Check the customer details.

  7. Review and confirm the booking.

The customer’s details appear in the Booking Overview Sidebar and are prefilled in the customer-details step.

5.1 Show Other Locations

Depending on your configuration, Booking Centre may initially prioritise locations where the customer already has bookings.

To book the customer at another location, clear the booked-locations filter. All available locations will then be shown.

5.2 Remove the Selected Customer

When a customer has been carried into the booking flow, the Booking Overview Sidebar can display Dismiss Customer.

Select Dismiss Customer to:

  • Remove the customer from the current booking flow

  • Clear their details from the sidebar

  • Clear the prefilled customer-details form

  • Restart the current flow without customer information

The dismissed customer is not restored when you change to another Booking Centre tab.

ℹ️ Dismiss Customer does not appear when no customer is selected, during the customer-details step, after a successful booking, or during cancellation and rescheduling.


6. How to Make a Follow-Up Booking

A follow-up booking allows you to create another appointment without returning to Customers and selecting the customer again.

After confirming a new booking:

  1. Select Make follow-up booking.

  2. Choose the required booking flow.

  3. Complete the new booking.

  4. Review and confirm it.

The same customer is carried into the new booking and their details are prefilled.

Select Start anew instead when the next booking is for a different customer.

ℹ️ Follow-up bookings are intended for Global Shared Customers. When using Global Customers, the customer may not be carried into the new booking correctly.

ℹ️ For a newly created Global Shared Customer, or a customer who has just been booked at a new location, it can take approximately five minutes for the booked-location information to update. The customer details can still be prefilled during this period.

The follow-up actions are available only after creating a new booking. They do not appear after a cancellation or rescheduling.


7. How to Reschedule a Booking

You can reschedule an upcoming booking from the customer’s record.

The user needs both SCHEDULE and RESCHEDULE permissions.

  1. Open Customers.

  2. Find and open the customer.

  3. Open the customer’s Bookings tab.

  4. Go to Upcoming.

  5. Find the required booking.

  6. Select the rescheduling action.

  7. Choose a new date, time or resource.

  8. Review the original and updated booking details.

  9. Choose whether to add a message for the customer or resource.

  10. Confirm the change.

During the final step, you can use:

  • Notify resource(s)

  • Notify customer

Selecting one of these options opens an optional message field.

ℹ️ These options control whether your written message is included in the notification. They do not determine whether the email itself is sent. Email delivery is controlled through the account’s System Notifications for booking changes.

If the original resource is unavailable, Booking Centre displays a warning and applies the configured resource-selection rules.

A booking cannot be rescheduled when:

  • The configured rescheduling lead time has passed

  • The booking was paid online

  • The user does not have the required permissions


8. How to Cancel a Booking

You can cancel an upcoming booking from the customer’s record.

The user needs both SCHEDULE and CANCEL permissions.

  1. Go to Customers.

  2. Find and open the customer.

  3. Open the customer’s Bookings tab.

  4. Go to Upcoming.

  5. Find the required booking.

  6. Select the cancellation action.

  7. Choose whether to add a message for the customer or resource.

  8. Confirm the cancellation.

The cancellation step includes:

  • Notify resource(s)

  • Notify customer

Each option can display an optional message field.

ℹ️ These options control whether your written message is included. Whether the cancellation email is sent is controlled through the account’s System Notifications for booking cancellations.

A booking cannot be cancelled when:

  • The configured cancellation lead time has passed

  • The booking was paid online

  • The user does not have the required permissions

Online payments are not processed or refunded through Booking Centre.

Q. What Is TIMIFY Booking Centre?

The configured lead time may have passed, the booking may have been paid online, or your user may not have the required permission. Bookings paid online cannot be cancelled or rescheduled through Booking Centre.
